Guide to Running Your First Payroll Logout

Print this guide to help you to run your first payroll.

  1. Start Your Payroll
    Select the "Run Payroll" link in the left navbar on the Account Center to go to the Payroll section.

  2. Select Employees to Pay
    Check the box under "Pay" next to each employee you are paying this pay period.

    Enter Regular Hours, Overtime Hours, Other Hours as needed. You may also select an Extra Pay Type and a One-Time Deduction for this pay run.

    For additional payroll fields, select the employee name.

  3. Edit Employee Information - Optional
    On the Employee Payroll Data page you can Review Hourly Rate or Salary Information, add up to 3 additional Extra Pay Types, or edit Department and Benefits information.

    Press "Save Changes" to return to the Payroll Entry page.

  4. Save Changes & Preview Payroll
    Make sure you "Save Changes" as you enter your payroll.

    When payroll entry is complete, click the "Preview Payroll" button.

  5. Payroll Preview Summary
    The system will now calculate your Payroll Preview Summary. The report should calculate in about 60 seconds, depending on site traffic.

    The Payroll Preview Summary will display your net amounts, payroll taxes, fees and the Total Cash Requirement needed in your account to process payroll.

  6. Review Payroll Preview Summary
    This is where you wil confirm your pay amount, deductions and pay method. You can also review the net amounts, taxes and total cash requirement on your Payroll Preview Summary.

    Select the employee name to access detailed breakdowns of pay, taxes and deductions for the pay period.

  7. Print Summary and Approve Payroll
    Print a copy of the Preview Summary for your records. You will not be able to see this page after you approve your payroll.

    If all the information is correct, click the "Approve Payroll" button to approve and submit your payroll. If someone else approves your payroll, you will see and need to click a "Submit" button.

    If your information is not correct, click "Cancel". This will not cancel your payroll. It will return you to the Payroll Entry screen to make your corrections. You will then repeat steps 4 - 7.

    Remember: IF YOUR PAYROLL IS NOT APPROVED, IT WILL NOT PROCESS.

  8. Confirm Approval of Payroll
    Click "OK" to confirm that you want to approve your payroll. Once you approve your payroll, you won't be able to make changes.

  9. Return to the Account Center
    Your payroll status should now read "Waiting for payroll engine to process your data."

    If it does not, click "Preview Payroll" from the left navigation bar and Approve your payroll.

  10. Review Payroll Steps
    To run your payroll, remember these simple steps:
    1. Check the box to each employees name you want to pay this period.
    2. Enter their payroll data.
    3. Save your changes and preview your payroll.
    4. Review and print your "Payroll Preview Summary"
    5. Approve the payroll.
    6. View your payroll status change in the Account Center.

  11. Payroll Complete
    Congratulations! You ran your first payroll.

    Once your payroll has processed you will be able to print payroll reports and batch print employee paystubs from the "Reports" section.

    You can also print checks for employees who get paid by a paper check.

    On Payday, your employees will receive a reminder email that they have been paid. Employees can always view and print their own paystubs online.
